What you will be doing in this role:
The Office Coordinator is responsible for overseeing the daily operations of BSR’s Head Office and plays a key role in maintaining a safe, clean, and well-functioning environment for all employees. This varied role involves ensuring the efficient running of the workplace, coordinating maintenance tasks, being the main point of contact for Reception enquiries, and booking travel and accommodation for employees.

This position is a part time, office-based role, working 25 – 30 hours a week over 5 days.

What we need from you:

  • Main point of contact for Head Office facilities
  • Oversee and manage the day-to-day operations of the Head Office, ensuring a safe, clean and functional environment
  • Conduct weekly and monthly checks of the Head Office to identify and address maintenance needs
  • Obtaining quotes, coordinating repairs and arranging contractors where necessary
  • Liaise with Accounts department/budget holder to review facilities spend against facilities budget
  • Coordinate contactors for required annual maintenance
  • Liaising with the H&S team to maintain accurate records of maintenance logs and service contracts
  • Greeting of visitors and trades to the office
  • Arrange lunches and refreshments for external visitors
  • Ensuring the required level of office supplies are ordered and stocked (stationery, tea, coffee etc)
  • Raise POs relating to office maintenance
  • Processing accommodation and travel requests, and booking of accommodation/travel in accordance with company policy
  • Take mail to the Post Office, when required
  • Main point of contact at reception, answering reception calls, and monitoring and responding to enquiries via the reception inbox
  • Assisting the HR Team with social events, when required
  • Receiving deliveries
  • Other ad hoc tasks as required

What experience and skills will you have?

  • Experience with facilities management desirable but not essential
  • Strong organisational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Proactive and able to work independently
  • Detail-oriented with a strong focus on safety and compliance
