IT Project Coordinator (18 month FTC)

What you will be doing in this role:
Reporting to the Head of Information Technology the Project Coordinator will be responsible for assisting the Project Manager to support the coordination and delivery of the group wide digital transformation project.

Working with the Project Manager, the Project Coordinator will assist with the coordination and administration of all aspects within the project lifecycle. Drawing on internal and external resources the role will involve working with the Project delivery team and Systems Integrator in the planning and implementation of the agreed list of milestones and deliverables across the project life span from inception through to handover of the project.

What we need from you:

  • Assist the project management team with coordination of project related activities to ensure the project team has what’s needed at the right time.
  • Ensure project meeting minutes are accurately recorded and distributed.
  • Producing project summary reports and coordinating the preparation of all reports.
  • Assist with the management of vendor commitments and relationships.
  • Manage communication flow for contract submittals, project reporting, invoicing, vendor submittals and other documentation between customer, project team, and suppliers.
  • Liaise with both internal and external project stakeholders on an ongoing basis.
  • Record RAID (Risks, Actions, Issues, Decisions) items in Azure DevOps (ADO) and collaborate with the project team and stakeholders to resolve these in accordance with the project management governance processes.
  • Organise workshop logistics, including scheduling meeting rooms.
  • Monitor the status of the project to ensure documentation is submitted according to schedule.
  • Review and verify project documents for completeness, format, and compliance with contract requirements.
  • Submit project proposals and documentation to management for approval and transmit approved documents.
  • Other duties as assigned by the Project Director and Project Manager.

Skill requirement:

  • Computer literate with experience of using Microsoft Excel and Word
  • Azure DevOps (ADO) experience is advantageous but not essential
  • Organised approach to work
  • Experience working within a D365 ERP project is advantageous but not essential
  • Excellent communication skills both written and verbal
  • High levels of accuracy
  • Ability to meet deadlines
  • A team player who listens, learns and actively communicates
  • Works well under pressure
  • Flexibility and willingness to learn
  • Administration skills
