What you will be doing in this role:

As the Executive Assistant to the CEO, you will play a pivotal role in supporting the CEO in managing their day-to-day activities and ensuring effective communication across the organisation. This role involves liaising with internal and external stakeholders, contributing towards the overall efficiency and success of the group.

The role would suit an enthusiastic, detail orientated professional who has experience of providing high level administrative support in fast paced environments. The ideal candidate will be adaptable and capable of handling a variety of tasks with efficiency and discretion.

What we need from you:

  • Day-to-day management of the CEO’s diary, including scheduling meetings, appointments and travel arrangements.
  • Prepare and proofread documents for internal and external meetings.
  • Screening and managing emails, phone calls and any other form of correspondence.
  • Communicate with the CEO and department heads to ensure all office management requirements are fulfilled, including insurance and bills.
  • Manage the coordination of visitors and guests to the office, including scheduling appointments, providing agendas and materials. Additionally, support meetings by arranging refreshments and ensuring a welcoming environment to all involved in the meeting.
  • Arrange a slide deck for CEO to present on a weekly Monday Morning Meeting.
  • Compile and organise board meeting notes into a document for review by the CEO.
  • Coordinate company monthly report packs.
  • Lead or support special projects as assigned by the CEO. Including research projects providing recommendations to support the decision-making process.
  • Act as a liaison between the CEO and external stakeholders.
  • Manage the CEO’s expense claims, whilst maintaining accurate records.
  • Handle confidential and sensitive information with the upmost discretion.

What experience will you have?

  • Experience of working in an exciting agile working environment
  • Experience in office management and business communications would be desirable.
  • Experience of dealing with internal and external personnel

  • Proficient in Office 365 applications such as Word, Excel, PowerPoint and Outlook.
  • Proactive, self-motivated and enthusiastic
  • Highly organised with ability to effectively manage a varied workload.
